Transparent math

How the numbers are worked out.

01

Admin cost

Work orders × minutes each ÷ 60 gives your admin hours. Hours × your hourly cost gives what that time costs every month.

02

Cost of errors

Work orders × share with problems × average loss per problem order. This is money lost to deductions, rework and late payment.

03

Time you could win back

Your admin hours, shown as full 8-hour working days. This is the time you could spend on field work, sales or growth instead.

What is your paperwork really costing you?

Build your real work order mix, add portal complexity, and see what admin time, rejections and slow payments cost, by work order type. Then see your break-even rate for any outsourcing quote.

Why these inputs

Built around how vendors actually get paid.

Your starting values are placeholders, not AssetSure client averages. Change them to match your business.

Allowables cap your payout

Many services are paid up to a published allowable. One Fannie Mae matrix hosted by Safeguard Properties lists a maximum for each snow clearing and for the calendar year, and another suggests regular grass cuts about twice a month between April 1 and October 31. Capped payouts are why admin time can take a big share of grass cut and snow orders. Matrices change, so check your current guidelines.

Margins are thin

MCS notes that property preservation profit margins tend to be thin, which is why back-office efficiency matters so much to a vendor's bottom line.

Cash waits on approvals

According to the vendor-payments company Wingspan, contractors often front materials, dump fees and fuel and wait on Net-30 or Net-60 terms. Rejections can stretch that wait, which is why the calculator tracks cash waiting.

FAQ

Calculator questions.

How does this calculator work?

You enter your monthly work orders by type, the minutes of back-office work each one takes, and what you are paid. It adds the cost of the time, the cost of rejections and rework, and the money kept waiting by slow payments, then shows the result by work order type.

Why do work order types matter?

Initial secures, maintenance orders, grass cuts and trash-outs need different amounts of paperwork and pay different amounts. Grass cut and snow orders are high volume with small payouts, so the same admin time takes a bigger share of the payout.

How do portals affect the numbers?

Portals with more required fields, photo rules and approval steps take longer to process. Use the portal sliders to say how many of your orders are in demanding portals and how much extra time they take.

What is the break-even rate?

It is the price per work order at which outsourcing costs the same as your current admin time. Any quote below it saves you money, from any provider.

Is my information saved or shared?

No. Everything is calculated in your browser. Nothing is sent unless you choose to email, message or share. A share link only includes your numbers if you tick the box, and they sit after a # in the link, which browsers do not send to servers.

Where do the starting values come from?

They are placeholders based on common work order types, not averages from AssetSure clients. Replace them with your own numbers for a useful result.
